Maintain Dean’s appointment calendar and make travel arrangements for the Dean and/or faculty. Serve as office receptionist. Perform routine secretarial duties for Dean and others, including typing letters and documents, reports; scheduling meetings; creating agendas; ordering office supplies and taking and distributing minutes of meetings. Prepare faculty contracts for signature and maintain system for tracking contracts. Maintain paper trail of budget line items; check monthly against online information; correct discrepancies; and prepare check requests. Compile and analyze data needed for reports; prepare reports for mailing within stated deadlines. Prepare and maintain all forms developed by the College of Arts & Sciences. Maintain archives for the College of Arts & Sciences. Prepare and distribute university evaluation packets each semester. Generate Dean’s List letters for signature and mailing each semester. Coordinate meetings with CAS faculty and secretaries. Other Duties: Work and collaborate with other Dean’s Administrative Assistants. Maintain familiarity with Banner. Create posters and flyers using computer software for posting events during the semester. Assist with planning for special events such as preview days, college events and graduation ceremonies. Additional duties as assigned by the Dean, College of Arts & Sciences.
